Please note if bringing amended or updated presentation material to the conference we are only able to accept versions on CD for plenary session speeches, as the technicians are unable to hook up an additional laptop whilst the sessions are taking place.

    EuroFinance Conferences have arranged for a meeting on the evening prior to the start of the conference to offer all speakers the opportunity to go through their sessions and address any questions that may arise regarding the venue, audio visual or logistics. After the speaker briefing we would be delighted if you would join us and fellow speakers for refreshments.


    Speaker Biographies

    A conference guide is handed to each delegate upon arrival at the conference containing all the relevant information and details concerning the event, including speaker biographies. If it has not already been submitted please ensure that a personal biography of up to 50 words for inclusion in the guide is forwarded to the
    Event-Department, by at least a month before the event takes place.


    Conference Tickets

    All speakers are invited to attend the full conference and lunch on all days of the event as complimentary delegates. As a speaker you are entitled to offer your colleagues certain discounts off conference tickets, with colleagues of corporate speakers receiving up to 50% discount.     Emergency Contact Details

    It is paramount that speakers provide a mobile number where they can be contacted on-site for emergency reasons. Please ensure that you have supplied the number along with your full contact details to EuroFinance.


    Other Speaker Contact Details

    Speakers participating in a panel will be given a panel briefing by email from the speaker department. This will provide contact details for the panel moderator and other panelists to enable you to discuss the format and content and ensure that there is no duplication by speakers on the panel.

    Thank You Gift or Donation

    As a token of our appreciation, EuroFinance Conferences provides speakers with a choice of receiving a quality gift or letting us make a donation to charity on your behalf. You will need to register your preference on the forms enclosed in the Speaker Briefing Pack.


    Presentation Materials

    Your presentation should be sent to EuroFinance Conferences in a version of Microsoft PowerPoint for inclusion in the presentation binders that are handed out to delegates upon arrival at the conference. Generally they are required approximately one month before the event as the binders take time to print and ship to the venue.

    It is entirely up to you, the speaker, whether you need to have slides. If you do require slides, please pay attention to the following tips for use in Microsoft PowerPoint:
    • All presentations and handout material must be in the language being used at the event (usually English unless otherwise specified).
    • Font size on slides should be no less than 18 points and EuroFinance Conferences strongly recommend yellow text on dark blue background. If you do choose other colours, try not to make them too bright - remember that these colours will often be projected onto 10-foot high screens and you may find delegates rushing out of the conference room to fetch their sunglasses!
    • Graphics are always well received and often paint a better description than words and bullet points.
    • Please check that the slides do not have any logos or graphics, which may obscure text.
    • All presentation material will be reproduced in black and white. Please ensure to bear this in mind when checking any graphics as colours translated into black and white may be too dark for the text in front of the graphics.
    • Please remember to tick the "Embed Fonts" box on the Tools menu when saving your presentation. It ensures the text and images to stay in place when you send it via email and unembedded font characters and styles aren't available for editing or printing.
    • If you use your corporate font or logo, you need to send the font to us, as we won't be able to reproduce it otherwise. This might affect your exposure or corporate branding.

    Speaker Ratings

    Throughout the event we ask all delegates to complete the evaluation form provided in the front of the conference binders. Delegates rate the speakers on a scale of 1 to 5 (1 being poor, 5 being excellent) for both presentation and content. We will provide each speaker with their individual ratings and the overall conference average approximately a month after the event. This feedback is very important for making future conferences more enjoyable for yourself and others, so please do encourage the audience to fill in the evaluation form and make sure you also do the same for other speakers!


    Speaker Etiquette

    Please avoid misusing the conference platform to promote your company and its products or services. Speaker's company logos on slides should be small and discreet. Including supplier and bank logos or product names in the slides is not allowed. Speakers who sell on the platform will be blacklisted.

    Delegate attendance is based on the advertised programme; therefore it is imperative to follow the areas outlined in the bullet points for your speech, while taking into account the latest developments on the subject.

    Please give careful note to the time available. Sessions are normally 40 minutes, with 30 minutes allocated for presentation and 10 minutes at the end for 'Questions & Answers'. Running your session outside this time frame either short changes your audience or causes havoc for the next speaker.

    We appreciate that illness or some other event can sometimes result in you not being able to deliver the session. Under these circumstances, however, we do ask that you find a replacement speaker. Please be prepared. It would perhaps be an idea to have someone who could step in, forewarned, just in case.

    We know that you have done a lot of presentations in the past. If you do, however, need help in putting together any part of your programme, we will be more than happy to help make your session as educational, entertaining and informative as possible.

    Finally, we appreciate your involvement and the organisers welcome all feedback on any aspect of the conference.


    Rehearsals

    We urge speakers to rehearse their presentation using the actual equipment set up at the conference venue. This is an opportunity for you to familiarise yourself with the operation of the technical equipment provided and to see how the room will look on the day.

    Please let us know whether you would like to make use of a rehearsal slot on your forms which come with the Speaker Briefing Pack.
    • Time slots will be allocated on a first come first served basis. All rehearsal slots will be confirmed at a later date.
    • Please note that to ensure room availability, rehearsals must not coincide with conference sessions.
    • If a speaker misses a confirmed rehearsal time or does not confirm a time preference, rehearsals will be given to the speakers of the following day.

    Marketing

    This section has been devised to help you to make the most out of your participation at our conference.

    From now until the event, an extensive promotional campaign is being carried out, consisting of email, direct mail, advertising and public relations ensuring that you, your company and this event gets as much publicity and profile as possible. We have put together a number of opportunities to help you with your pre-event promotion and marketing. These ideas range from direct mail to newsletters to the Internet.

    It is in both your and EuroFinance Conferences' interest that you fulfil all your speaker objectives before, during and after the event. We are here to help you in any way that we can. Please contact us by

    The Importance of Pre-Event Marketing

    To ensure that you get maximum profile before the event, it is important to promote your presence to your colleagues and counterparts and even clients worldwide. EuroFinance conducts its own marketing campaign but personal invitations to the event from yourselves will give you additional exposure and personally highlight your own expertise and presence in the industry.

    Registration Discounts

    As a speaker, you can offer your COLLEAGUES and your CLIENTS large discounts:
    • Stand alone corporate - 50% discount for any colleagues
    • Corporate co-presenter - sponsor package discount (please contact us for details)
    • Financial sponsoring/exhibiting - package discount (please contact us for details)
    • Financial non-sponsoring/exhibiting - 10%
    • Discounts will be deducted from the relevant price indicated in the conference brochure.

    Conference Brochures

    Please let us know if you need any more conference brochures. It is suggested that in order to highlight your presence, it is important to accompany each brochure with your own letter. This letter should include the following information:
    • Name of event, dates, location
    • Information on your company
    • Key conference highlights, topics, speakers - especially yourself!
    • Details of the discount on offer from yourself
    If you require additional brochures please don't hesitate to contact us. Remember, it is always more effective to do at least two mailings to capture your colleagues' and clients' attention.


    In-House Promotion

    Promoting Your Presence at the Event within Your Organisation

    Use the following tools to promote your presence to your colleagues and counterparts world-wide:

    It is important to let your colleagues and counterparts around the globe know about the event and the discounts on offer to them. Let them know that you are speaking at the conference.


    Press

    EuroFinance Conferences will keep the national, regional and international industry press in touch with the latest activities surrounding the event including speakers, sponsors, exhibitors, topics and other interesting newsworthy items - so if you have anything you want to shout about, remember to feed through the relevant information to the
    Marketing-Department.

    If you do not wish press to hear your presentation, please advise EuroFinance in advance of the event by E-mail

    Make your own contact with the publications and see if your PR department can send personalised invitations to the journalists themselves. Encourage them to create a press release for you to mail out to the media. Press will be allowed into the event free of charge at the discretion of EuroFinance Conferences.

    Past experience has proved that journalists are more likely to attend the event if they are invited and briefed by speakers, banks or system suppliers. The more the journalists hear about the event from different sources, the more likely it is that they will cover the event. All press still need to register with EuroFinance so please ensure that you provide us with a comprehensive list of names, addresses, telephone and fax numbers of either those you have invited or those who have confirmed that they are attending the event.
